Completing a review cycle

Learn how, as a manager, you review your team members' feedback, write a summary and release the results. And how, as an HR admin, you close the cycle.

Where do you find it?

  • As a manager: Your team → Reviews. Click the cycle and then a team member.
  • As an HR admin: HR → Review cycles. Click the cycle and then a participant.

When can you release?

While feedback is being collected you can already view a team member's report. You'll see "Feedback collection in progress": the figures may still change.
After the feedback deadline, the cycle moves to Manager review by itself. From then on you can release the results.

Viewing the report

In a team member's report you'll see:

  • Overall scores: the average score from the self-assessment, the peers and the manager side by side.
  • Scores by competency and Detailed scores per question.
  • Written feedback: the answers to the open questions.

In an anonymous cycle you can't see which colleague said what. With fewer than 3 peer responses, the peer feedback is hidden.

Writing a summary

At the bottom of the report is Manager summary. Write your observations and recommendations for the team member here, and click Save summary. The summary is optional, but for the employee it's often the most valuable part.

See the Generate draft with AI button? Then Heartsome writes a first version based on the feedback. Always read it carefully and adjust it: it's your summary. Regenerate draft creates a new version.

Tip: want to see what the team member will see? Click View as employee. Exit preview takes you back.

Releasing the results

  1. Click Release to employee.
  2. Confirm.

The team member gets an email and can view the results straight away. You can't take back a released review.

Tip: after releasing, plan a conversation with your team member. The results are a starting point for that conversation, not a replacement for it.

Is a manager away? Then an HR admin can release the review on the manager's behalf.

Completing the cycle (HR)

Have all reviews been released? Then open the cycle via HR → Review cycles and choose Actions → Complete cycle. The cycle is then Completed, with an overview of the feedback received and the completion rate. Reviews that haven't been released yet can still be released afterwards.

Only once the cycle is completed can you start a new one.

Who can do what?

  • Manager: sees the reports of their own direct reports, writes the summary and releases.
  • HR admin and account owner: see all reports, can release on a manager's behalf and complete the cycle.
  • Employee: only sees their own results after they're released.
