Setting up offboarding steps

Learn how, as an HR admin, you set which steps go on the checklist when someone leaves. Think of the things Heartsome can't know: removing them from Slack or the password manager, changing the alarm code.

Where do you find it?

Go to Company Settings → Offboarding.

What's already there?

If you haven't changed anything yet, you'll see five example steps:

  • Remove from the company email, or set up forwarding
  • Remove from the chat tool
  • Remove from the password manager
  • Remove from shared drives and calendars
  • Hand over open work and contacts

Change them to fit the tools your company uses.

How to change the list

  • Add a step: click Add step, type the step, for example "Remove from the accounting software", and click Add.
  • Edit a step: click Edit next to the step and click Save.
  • Delete a step: click Delete and confirm.
  • Change the order: drag a step to a different place.

Changes apply to everyone whose leaving you record from then on. The checklist of someone whose leaving is already recorded doesn't change. To add a step for one person, add it on their own checklist. See Working through the leaving checklist.

Tip: don't put laptops, phones or keys here. Track those as assets, and Heartsome puts them on the checklist by itself.

Exit survey on or off

On the same page is the switch Send leavers an exit survey. It's on by default: every leaver's checklist then asks you to send an exit survey before their last day. See Sending an exit survey.

If you hold your goodbye conversation another way, you can turn the switch off. The exit survey item then no longer appears on the checklist. A survey that was already sent is kept.

Who can do this?

HR admins and the account owner.
